BSE TECHNICAL NOTE
Writing a Technical RFQ That Gets Better Quotations
A useful RFQ identifies the equipment or function, manufacturer and part number where known, quantity, operating environment, interfaces, required standards, documents and acceptance criteria.
Avoid mixing mandatory and desirable requirements without distinction. Suppliers need to know what is pass/fail and what can be proposed as an option.
For repairs or replacements, include fault history, photographs, installation envelope and known interfaces where those details are non-sensitive.
Practical checklist
- Start with the operating need
- Separate mandatory requirements from preferences
- Identify interfaces and environmental constraints
- Define required evidence and documentation
- State acceptance criteria and delivery context
Application note: This public guidance is intended to improve requirement quality. Final technical, contractual and compliance decisions remain specific to the project and end-user criteria.
